First 4 Recruitment Limited (Company number 10683627) is committed to protecting the privacy of our candidates, clients and users of our website. We want to provide a safe and secure user experience. This privacy notice explains what we do with your personal data, whether we are in the process of helping you find a job, continuing our relationship with you once we have found you a role, providing you with a service, receiving a service from you, or you are visiting our website. We will ensure that the information you submit to us via our website or through our office is only used for the purposes set out in this notice.

The information we collect and how we use it
In order for First 4 Recruitment Limited to provide the best possible employment opportunities that are tailored to you, we need to collect and process certain information about you.

 The personal data we collect or receive includes the following as applicable.

•Employment History (Including information relating to placements through us)
•Educational history, qualifications, training & skills
•Visa or other right to work or identity information

•Personal information which relates to hobbies and interests
•Other sensitive personal information such as health records or criminal records.
•Information contained in references and pre-employment checks from third parties.

We may obtain your personal data from the following sources.
•You, (e.g. a CV, application or a registration form)
•A client
•Other candidates
•Online Jobsites
•Social Media sites (e.g. Facebook, Twitter or LinkedIn)
•At Interview
•Conversations via Email or Telephone
•Notes following a conversation or meeting
•Our website

If First 4 Recruitment have obtained your personal data from a third party such as an online job board, it is our policy to advise you of the source when we first communicate with you.

The processing of your personal data and information may include
•Collecting and storing your personal data, in either manual or electronic files
•Notifying you of the potential roles and opportunities we have
•Reviewing and assessing your suitability for live job roles
•Supplying/introducing you to clients
•Engaging you for a role with ourselves or our Clients, including any related administration e.g. timesheets and payroll
•Sending information to third parties with whom we have entered into arrangements which are related to our Recruitment Services.
•Providing information to regulatory authorities or statutory bodies, and our legal or other professional advisers including insurers.
•To market our Recruitment Services
•Record keeping in relation to recruiting and hiring

We may also seek your consent to collect, hold, use and disclose your personal data for any other purpose not listed above.

Retaining your data
In most circumstances your data will not be retained for more than 6 years from the last point at which we provided any services or otherwise engaged with you and it is our policy to only store your personal data for as long as it is reasonably necessary for us to comply with our legal obligations and for our legitimate business interests. If however you feel that we should delete your personal data at an earlier date, please inform us in writing of your reasons. Please see “Your Rights” below.

Access
You have the right at any time to ask us for a copy of the information supplied by you that we hold. If you would like to make a request for information, please contact accounts@first4-recruitment.com. You also have the right to ask First 4 Recruitment Limited to stop using your information, however if this involves a request for deletion of your file, please be aware we may not be required or able to do so, particularly where your file also holds information about our clients or financial information that we need to keep for periods of up to six years i.e. that relate to tax matters. Where we are unable to comply with your request, we will provide reasons for failing to do so. Please see below (“Your rights”) for more information on the rights you have in regards to your personal data.

Your rights
First 4 Recruitment Limited take the protection of your personal data very seriously and it is important that you know your rights within that context, which include rights to;

•Request a copy of the personal information that we hold about you
•Request that we restrict processing of your data in certain circumstances
•Request that data is erased where the continued use of the data cannot be justified. Recruitment agencies are required to keep certain records such as ID or right to work check and payroll records for certain periods of time. These obligations will override any request to erase data or any objection to processing for so long as they must keep the data.
•Request inaccurate or incomplete date is rectified.
•Withdraw your consent to our processing of your personal data for a particular purpose at any stage. However please note that we may continue to retain, or otherwise use your personal data thereafter where we have a legitimate interest or a legal or contractual obligation to do so.
 

Legal Basis for processing
First 4 Recruitment Limited legal basis for processing of personal data is our legitimate business interest, which is described in the section below (“Legitimate Interests”), although we will also rely on obligation and consent for specific uses of data.

First 4 Recruitment Limited will rely on contract if we are negotiating or have entered into a placement agreement with you or your organisation or any other contract to provide services to you or receive service from you or your organisation.

We will rely on legal obligation if we are legally required to hold information or personal data on you to fulfil our legal obligations.

In certain circumstances we will rely on consent for particular uses of your personal data and we will ask you to express your consent, if legally required. An example of when consent may be lawful basis for processing includes permission to introduce you to a client (If you are a candidate).

Legitimate Interests
First 4 Recruitment Limited takes your privacy seriously and we will only use your personal information to provide you with our recruitment services and administer your account.

We think it’s reasonable to expect that, if you are seeking employment or have posted your CV information either through our website, on a job board or through a professional networking site, you are happy for us to collect and otherwise use your personal information to provide our recruitment services to you, to also share with prospective employers (with your consent) and asses your skills against our live vacancies. During the process of placing you into employment your potential employer may also want to confirm your qualifications, references and criminal record, to the extent that is appropriate and in accordance with the law. We need to be able to do these things so we can help find you employment.

We may also need to use your data for our internal administrative activities, such as payroll and invoices where relevant.

Who do we share your data with?
As required under GDPR, First 4 Recruitment Limited will only share your information to prospective employers with your express consent.

Unless you specify otherwise, we may also share your information with any of our associated third parties such as our service providers where we feel this will help us to provide you with the best service and we have the appropriate processing agreement in place.

Under 13 year olds
First 4 Recruitment Ltd website and office are not intended or designed to attract children under the age of 13. We do not knowingly collect personal identifiable data from or about any person under the age of 13. If you are under 13 years old and wish to ask a question or use our website in any way, which requires you to submit your personal information, please get your parent or guardian to do so on your behalf.

This Privacy Notice is regularly reviewed and may be updated from time to time to reflect changes in our business, or legal or commercial practice. Where an update is relevant to our processing of your data, we shall notify you of the same.
